The First Chapter: Our Wedding Welcome Dinner

Embarking on the journey of recounting our wedding weekend, I initially hesitated about dedicating an entire post to our welcome dinner. However, as I began to structure this series, it became abundantly clear that omitting this crucial prelude would be a disservice to the full narrative. Our wedding, as it beautifully unfolded, transcended a single day; it was an immersive wedding weekend, a vibrant celebration that began the moment our first guests arrived. Having kept many details under wraps during the planning phase, I’m thrilled now to invite you into a comprehensive recap, starting with the heart of our pre-wedding festivities: the welcome dinner. But first, let’s rewind to the genesis of our San Francisco celebration.

From the very outset of our wedding planning, I had one unwavering request: our celebration had to take place in San Francisco. This decision often came as a surprise to many, given that neither my husband, C, nor I originally hail from the Bay Area, and we had only been residents for a mere eight months at that point. Yet, San Francisco resonated deeply with us. It had swiftly become our cherished home, the city where we were consciously building our shared life. Our desire was simple yet profound: to gather all our beloved friends and family in this incredible place to celebrate our union. While countless couples choose San Francisco for their nuptials, our wedding was, for virtually every guest save for a handful, a true destination wedding. Out of 135 attendees, a staggering 120 journeyed from afar, flying in from Toronto, New York, Montreal, Minnesota, China, Taiwan, and even Berlin. This truly global guest list underscored our commitment to not just host a wedding, but to craft an unforgettable San Francisco experience, especially for those who traveled so far.

This unique circumstance meant that our welcome dinner held particular significance. I was resolute that it should not feel like a “second wedding.” While every guest invited to the main ceremony was also invited to the welcome dinner, effectively making it a substantial gathering, the challenge lay in creating two distinct yet equally memorable celebrations. The goal was to infuse both events with our personalities, ensuring they felt authentic to us while offering different atmospheres. The welcome dinner was designed to be relaxed, allowing guests to mingle and unwind after their travels, setting a joyous, laid-back tone for the more formal wedding day to follow.

As a quick note for those interested in candid moments – we made a conscious decision not to hire a professional photographer for our welcome dinner. Instead, all the beautiful images you’ll see in this post (with the exception of the professionally designed invite, graciously captured by Sierra!) are heartfelt contributions from our amazing friends and family. This allowed C and me to truly immerse ourselves in the joy of the weekend, without the distraction of our phones or cameras. It was truly glorious to be fully present.

One of the many reasons we adore San Francisco is its incredible diversity, offering countless avenues for exploration beyond the typical tourist traps. By now, you might have gathered that our version of San Francisco leans heavily towards its natural beauty – the sprawling parks, rugged beaches, and hidden trails, rather than the bustling downtown pavement. Our heartfelt desire was to showcase this lesser-known, more intimate side of the city; the San Francisco that makes us feel truly at home. Our initial vision for the welcome dinner was a casual, celebratory barbecue nestled within Golden Gate Park, specifically in the very meadow where C proposed to me. It was a romantic and deeply personal idea, one we believed would perfectly encapsulate our connection to the city. While I’m certain it would have been charming, my two incredibly loving and practical mothers gently, yet firmly, reasoned with me about the formidable challenges this plan presented.

Their concerns were twofold and entirely valid. Firstly, a park location offered no reliable rain plan – a significant risk even in unpredictable San Francisco weather. Secondly, catering and providing bartending services for 135 guests in an open public park proved to be an immense logistical undertaking, fraught with complexities ranging from permits and power access to waste management and restroom facilities. It was only when I truly grappled with the sheer scale of managing 135 guests and the intricate coordination required that I conceded; hosting our welcome dinner in Golden Gate Park would have been nothing short of hellish. They were unequivocally right. So, we pivoted, embracing the next best, equally enchanting alternative:

Stern Grove! This local gem quickly became our perfect solution. I’ve encountered many San Franciscans who adore Stern Grove, and just as many who, surprisingly, have never heard of it. However, if you’re a dog owner in SF, Stern Grove is likely a familiar and beloved spot, boasting an amazing off-leash dog park where our furry friend, Bo, frequently romps. It’s also home to a magnificent amphitheater that hosts vibrant live music concerts throughout the summer months, and its natural beauty is simply breathtaking. The true revelation, however, was discovering that Stern Grove also features a charming clubhouse available for private events. It was C’s incredibly resourceful mother, Janet, who unearthed this hidden treasure (a huge thank you, Janet!). Not only did she find it, but she also miraculously managed to secure it for the highly coveted Saturday of Memorial Day Weekend – a truly CHAMPION feat! Of course, planning an event within a city park like Stern Grove came with its own set of unique challenges. Navigating the municipal park staff can be, shall we say, less than straightforward. The permitting process, adherence to strict regulations, and often slower communication required immense patience and persistence. Thankfully, Janet shouldered the majority of this complex coordination (insert all the prayer and thank you emojis here!), and in the end, her tireless efforts ensured everything came together beautifully. Consider this a friendly warning to anyone contemplating a party in a park: prepare yourselves for the bureaucratic hurdles, but trust that the unique reward is often worth the effort.

The undeniable allure of Stern Grove lies in its magnificent redwood grove, a truly special and serene oasis nestled right in the heart of San Francisco. Our initial vision for the welcome dinner was to host the majority of the festivities outdoors, with the clubhouse serving as a comfortable backup. However, as the evening progressed and the San Francisco chill settled in, coupled with an unforeseen issue with the outdoor heaters, most of our guests naturally gravitated indoors. This turned out to be perfectly fine, as the clubhouse offered a cozy and intimate atmosphere, enhanced by thoughtful outdoor lighting and a selection of classic lawn games like cornhole and giant Jenga that encouraged casual interaction and fun before the temperature dropped. Despite the change of plans, the enchanting redwoods still provided a stunning backdrop, visible through the clubhouse windows, reminding everyone of the unique natural setting.

Our primary objective for the welcome dinner was to ensure every guest felt genuinely welcome, loved, and at ease, fostering a decidedly casual atmosphere. We communicated a relaxed dress code, strongly encouraging layers – a practical necessity for any San Francisco evening! We extended this relaxed theme to our culinary choices, bringing in one of our absolute favorite local establishments, 4505 BBQ, to cater the dinner. Their mouth-watering barbecue perfectly aligned with our desire for an unpretentious yet incredibly delicious meal. The food was, in a word, AMAZING, featuring their signature brisket, ribs, and an array of fantastic sides that delighted everyone. To complement the feast, we hired professional bartenders and stocked a generous selection of local wines, craft beers, and, of course, a plentiful supply of La Croix to cater to every taste. The combination of incredible food, refreshing drinks, and a relaxed environment truly set the stage for an evening of warmth and connection.

In all honesty, I found myself incredibly nervous before the welcome dinner – perhaps even more so than for the main wedding ceremony itself. The anticipation of greeting so many cherished friends and family members from diverse walks of life, all converging in one place, was both exciting and slightly overwhelming. I simply didn’t know what to expect from the evening. Yet, what unfolded was profoundly better than anything I could have imagined, transforming any lingering anxieties into pure joy. This magical evening, however, was far from a solo endeavor; it was made possible by an incredible outpouring of help and support.

C’s family, who truly are the ultimate support system, played an indispensable role. They tirelessly helped with every aspect of setup and breakdown, ensuring that every detail was in place and that the evening flowed seamlessly. Their meticulous efforts allowed C and me to truly relax and savor every moment, engaging with our guests without a single worry. Our evening didn’t adhere to a strict agenda; the main goal was simply to allow guests to reunite, meet new friends, and be merry. We ate, we drank, we shared heartfelt hugs, and we also raised our voices in speech! Given that we opted not to have a traditional wedding party (a decision we’ll delve into in an upcoming post), we extended an invitation to a few close friends to deliver short, personal speeches during the welcome dinner. My best friend from summer camp, along with my best friend from high school, college, and our time in Toronto, shared beautiful anecdotes. Similarly, C had a friend from his camp days and a friend from his Toronto years each speak. It was incredibly moving to gather in that cozy room, with the warmth of the fire crackling, and listen to our friends share their unique perspectives on our relationship. These intimate reflections made the evening feel exceptionally special and deeply personal, setting a truly wonderful tone for the celebrations ahead.

While our event was officially scheduled to conclude and for us to vacate the property by 10:00 PM, our lively friends, in true celebratory spirit (you’ll see more of their energy in future posts!), had other plans. We didn’t manage to leave until well after 11:00 PM, a testament to the incredible fun everyone was having. As a spontaneous afterparty began to form, C and I, prioritizing rest and a calm start to our big day, made the decision to head home. We sadly missed out on the extended festivities but instead opted for a quiet evening. We packed our essentials for the next day, and then cherished some peaceful moments cuddling with our beloved dog, Bodhi. The traditional notion of “being apart the night before your wedding” felt archaic and unnecessary to us. C is precisely the person I wanted by my side before such a significant occasion, so we chose to do things our own way, staying together and supporting each other. Absolutely no regrets about that personal choice!
